How to Verify a Low-Cost Automation Spare Parts Supplier

A low price can be a genuine purchasing opportunity. The risk begins when the supplier cannot clearly explain the stock source, product condition or identity of the part.

For obsolete PLC, DCS, drive, turbine-control and safety-system components, one incorrect module can cause delayed maintenance, additional freight charges or extended downtime. Before placing an order, procurement teams should verify the supplier as carefully as they verify the part number.

SUPPLIER DUE DILIGENCE
01 · IDENTITY

Verify the Supplier’s Business Identity

Check the registered company name, business address, company-domain email, contact details and bank-account beneficiary. The company shown on the quotation, invoice and payment account should be consistent.

02 · STOCK

Confirm the Item Is Physically in Stock

Ask whether the product is currently in the supplier’s warehouse, how many units are available, when it can be dispatched and whether the quoted lead time is based on physical stock.

03 · EVIDENCE

Request Photographs of the Actual Product

Request current photographs of the front panel, rear connectors, manufacturer label, full part number, hardware revision, serial number and packaging. Catalogue images do not confirm the unit being offered.

04 · CONDITION

Confirm Product Condition in Writing

“Factory new,” “new surplus,” “refurbished,” “used” and “repair service” are not interchangeable. The quotation should state the offered condition and any packaging or date-code limitations.

05 · COMPATIBILITY

Check the Complete Model and Revision

Verify the manufacturer, complete part number, suffixes, hardware revision, firmware, voltage, system family and required terminal unit, base or cable. Never order from appearance alone.

06 · TERMS

Review the Quotation and Warranty Terms

Confirm the exact model, quantity, condition, warranty, estimated dispatch time, shipping terms, payment terms and return conditions. Clarify phrases such as “similar model” or “subject to availability.”
